Key Responsibilities
- Reviewing, sorting, and distributing incoming and outgoing correspondence, reports and maintaining a database of outstanding activities.
- Scheduling meetings, preparing minutes, and providing administrative support for workshops, conferences, and training sessions.
- Drafting and preparing correspondence and reports with accuracy and professionalism.
- Ensuring timely dispatch and acknowledgment of correspondence.
- Receiving and directing visitors and calls appropriately, maintaining a telephone log.
- Operating and maintaining office equipment to ensure functionality.
- Filing, maintaining, and retrieving documents in accordance with established filing systems.
- Coordinating travel arrangements and vehicle requests through the Transportation Unit.
- Supporting daily operations of the department and contributing to team results.
- Performing other related duties as assigned.
Job Specifications
- CAT, Diploma in Accountancy or equivalent qualification, or related field with at least two (2) years’ relevant experience.
- Proficiency in office procedures, record management, and PC applications.
- Strong interpersonal, communication, customer service, and organisational skills.
- Ability to analyse data, prepare reports, and manage multiple tasks effectively.
- Team-oriented, proactive, detail-focused, and able to work independently to meet deadlines.
- Professionalism, integrity, mutual respect, and accountability.
